Privacy and cookie statement

ALLSAFE respects the privacy of visitors to the domain www.allsafe.nl (and all our other online channels including websites, web shops, apps and emails) and ensures that the personal information you provide to us, for example through contact forms, is treated confidentially. Personal data is processed in a manner that complies with the requirements of the General Data Protection Regulation (GDPR).

Purposes of the data processing

Your personal data is processed by us for entering into and performing agreements relating to our services and for managing the relationships arising from them. This also includes maintaining contact with (prospective) customers, following up requests and quotations, and carrying out activities aimed at growing our customer base. In that context, personal data may be stored and managed in our Customer Relationship Management (CRM) system.
We share personal data with third parties only where this is necessary for the performance of our services, to comply with legal obligations, or where we have obtained your consent to do so. Depending on the nature of the services, personal data may be shared with, for example, IT service providers, hosting parties, CRM suppliers, payment providers, accountants, debt collection agencies, insurers and competent government authorities. With parties that process personal data on our behalf we conclude processor agreements, setting out arrangements for careful, secure and confidential processing of personal data. We do not provide personal data to third parties for their own commercial purposes, unless we have obtained your consent or are legally required to do so.

We also process personal data of visitors who submit a form via our website. This concerns the name, the email address and the telephone number. We use this data to assess the request, to make contact about the requested quotation and to give an appropriate response to the request. The basis for this processing is taking steps at the request of the data subject prior to entering into an agreement, as well as our legitimate interest in handling requests and improving our services.

If you become a customer, we keep your personal data for the term of the agreement and thereafter insofar as this is necessary for our business operations, the handling of any disputes or compliance with legal obligations. Name, email and telephone details are in principle kept until five (5) years after the end of the agreement. Data forming part of our financial records, such as address details, bank account number and invoice and payment details, is kept for (7) years after the end of the financial year to which it relates, in accordance with the statutory tax retention obligation.

Data provided for identification at the start of the rental relationship, such as a copy of or details from an identity document, is kept for a maximum of five (5) years after the end of the agreement, unless a longer retention period is required by law. Data such as gender, age or date of birth is kept no longer than necessary for the purposes for which it was collected and is deleted or anonymised no later than five (5) years after the end of the agreement.

After the applicable retention periods have expired, personal data is deleted or anonymised, unless we are required by law or regulation to keep it longer. We take appropriate technical and organisational measures to protect your personal data against loss, unauthorised access or any form of unlawful processing.

Which data do we collect about you?

When you make an information request, for example about renting a storage space at ALLSAFE Mini Opslag, fill in a contact form or otherwise provide your contact details to us, we collect the personal data necessary to contact you (by telephone). We collect and process your name, email address and telephone number. By completing and sending a contact form or information request, you acknowledge that ALLSAFE may contact you by telephone, email or other appropriate means of communication in order to handle your request, provide additional information, issue a quotation or follow up your request. We process only the personal data necessary for these purposes and do not keep it longer than is needed to handle your request, unless a statutory retention period applies or a further customer relationship arises.

When drawing up the (rental) agreement for the storage space of your choice, or for one of ALLSAFE's other services, we collect the data necessary for this, such as your date of birth and payment details. Our online channels use various types of cookies, which you can switch on and off as you wish. At our branches we use camera surveillance, monitoring devices and systems. If you visit one of our branches, we may collect specific personal data about you produced by those devices and systems for security purposes.

Your rights regarding your personal data

You have the right to gain insight into the personal data we process about you. In addition, depending on the situation, you have the right to have your personal data corrected, deleted or restricted. You can also object to certain processing of your personal data.

When you submit a request, we register it internally. To establish your identity, we may use data already known to us, such as your customer number, address, email address or login details. If this is insufficient to establish your identity, we may ask for additional information. In exceptional cases we may request a copy of an identity document, whereby your citizen service number (BSN) and photo should be shielded as far as possible.

In response to a request for access you will receive information about the personal data we process about you, the purposes of the processing, the recipients of that data, the retention periods applied, your privacy rights and the origin of the data (where it was not obtained directly from you).

We respond within one month of receiving your request. If a request is complex, this period may be extended once by a maximum of two months. In that case we will inform you of the extension in good time.

If you consider that certain personal data is no longer necessary or is being processed incorrectly, you can also submit a request for the deletion of your personal data. We assess such requests in accordance with the applicable laws and regulations.

If you are of the opinion that we are not processing your personal data carefully or that we are not handling your privacy rights correctly, we ask you to contact us first so that we can look for a solution together.

You also always have the right to lodge a complaint with the Dutch Data Protection Authority, the Dutch supervisory authority for privacy legislation. You can find more information on the website of the Dutch Data Protection Authority (www.autoriteitpersoonsgegevens.nl).

Click behaviour and visit data

To gain more insight into the use of our online channels (such as www.allsafe.nl) and the performance of (online) marketing campaigns, so-called web analytics software is used on our online channels, such as Google Analytics. This is software that records anonymised data about your visit to the online channel. Examples of recorded data include the source of your visit (e.g. a campaign or referring web page), the web pages you viewed, the searches used, and so on. We point out explicitly that this data can never be traced back to you as a person or individual, except in situations where you identify yourself as a person via one of the forms on our online channels. In such cases your visit behaviour can be linked to the data entered. We try to anonymise this data as far as possible. The IP address is anonymised, for example, and we distinguish only between internal and external traffic. The information obtained is transferred to and stored by Google on servers in the United States. The data from Google Analytics cookies is sent securely (encrypted).

Remarketing

We use remarketing cookies. With the (re)marketing cookies we remember which information you view on our online channels, from which remarketing lists are built, without this leading to a profile traceable to a person. In order to serve you as well as possible, this enables us to show you relevant targeted advertisements on our online channels that are tailored to your needs as far as possible.

Google Privacy Policy

Read Google's Privacy Policy regarding advertising for more information, as well as the Privacy Policy for general information about Google's Privacy Policy. Google uses this information to keep track of how our online channels are used, to provide us with reports about the online channels and to offer its advertisers information about the effectiveness of their campaigns. Google may provide this information to third parties if Google is legally required to do so, or insofar as those third parties process the information on Google's behalf. We have no influence on this. We have not permitted Google to use the analytics information obtained for other Google services, for example for benchmarking data. We have concluded a processor agreement with Google.

Facebook, Twitter, Pinterest, Google Plus and LinkedIn

Our online channels include buttons for promoting or sharing pages on the social networks Facebook and Twitter. These buttons are implemented by code supplied by Facebook, Twitter, Pinterest, Google Plus and LinkedIn themselves. Among other things, this code places a cookie if you have accepted that (see above). Please read the privacy statement of Facebook, Twitter, Pinterest, Google Plus and LinkedIn (which may change regularly) to see what they do with the personal data they process by means of this code.

Use of cookies

Our online channels place cookies. A cookie is a simple small file that is sent along with pages of our online channels and stored by your browser on your PC, tablet or mobile phone. These cookies are used to make ALLSAFE's online channels function better and to monitor visits to the online channels. This allows us to see how often the online channels have been visited in a given period. ALLSAFE uses this data only in aggregate and cannot trace it to a PC or individual.

Do bear in mind that after deleting cookies you will have to set your preferences again on some online channels, or log in again.
The use of cookies is safe. Email and telemarketing campaigns are not a consequence of cookies. Cookies do not store your email address or telephone number, nor is a profile traceable to a person built up by means of cookies.
On your first visit to one of our online channels you receive a notice about the use of the various types of cookies by means of an information bar. By clicking agree you consent to the use of statistical cookies, preference cookies and necessary cookies.

Right to: access, rectification, erasure, restriction of processing, data portability, objection
If you have a relationship with our company, you may inspect your personal data following a written request. If the overview we provide contains inaccuracies, you can ask us in writing to change the data or have it deleted, if the conditions of Article 17 of the GDPR are met. You have the right to restriction of processing if the conditions of Article 18 of the GDPR are met.

If your data may only be processed with your consent, you have the right to withdraw that consent at any time, without affecting the lawfulness of the processing carried out on the basis of the consent before you withdrew it. You have the right to data portability, insofar as the conditions of Article 20 of the GDPR apply to you.

You have the right to object to the processing of personal data relating to you, insofar as the conditions of Article 21 of the GDPR are met, and you have the right to lodge a complaint with a supervisory authority and the right to unsubscribe from all direct marketing messages that we may send (with your consent).
